This meeting marks the official start of your project. During this initial stage, our team works closely with you to understand your company’s goals, brand identity, and target audience. We ask targeted questions and gather essential information, such as the services you offer, key details important to your clients, service areas, operating hours, and business processes. Based on this, we create a build plan that will guide the design and development efforts of your website, ensuring it meets your specific business needs. During this meeting, we also set deadlines and establish clear channels for you to provide necessary content, login credentials, and photos, setting your project on track for timely delivery.

Client Responsibilities:

  • Provide detailed information about your company’s goals, target audience, and services.
  • Share existing branding materials (e.g., logo, color scheme, etc.).
  • Supply key content such as service details, operating hours, and business processes.
  • Deliver necessary login credentials and other essential access information.
  • Identify any key visuals (photos, videos) to be featured on the site.
  • Share any specific brand guidelines or preferences for design and layout.

Initial Concept Design: Home Page

Our design team crafts the first visual concept design for your homepage to establish the overall look, feel, and tone of your website.

Design Review Meeting I

In this meeting, we present the homepage concept and gather your feedback. The homepage is the basis for how the rest of your website will look, so this is the meeting where we will rely on you to proactively share your ideas, thoughts, concerns, and feedback.

The goal of this meeting is to receive homepage design approval. With this approval, we are able to move onto the next phase of the design process, which is the creation of the website’s interior pages. (Example: About Us – Services – Contact Us – etc.).

Home Page Revisions and Interior Page Design Concepts

After your homepage design is approved, our designers create the concept designs for the interior pages of your website, ensuring consistency throughout all pages with the established style, structure, and color scheme.

Design Review Meeting II

In this meeting, we present the entire website design for a comprehensive review. This is a key moment in the design process as it is the main review of your website’s structure, layout, and flow of information.

We also review any final content that needs to be integrated into the design at this point, to make sure nothing is missing before we send the designs back to the designers for a final round of creative revisions.

Final Design Revisions

At this stage, our designers apply the final adjustments based on feedback received from the second review meeting. This step ensures the website designs are updated with the most recent feedback and ready for your final approval.

Design Review III (Final Design Review)

In this final meeting, we review the completed design with you, including all content and layout elements. Once approval is received from you, we move to the development phase, where the creative designs are transformed into a fully functional website.

Develop & Deliver

Back-End Development and Content Management System Integration

In this phase, the front-end of the website is integrated with powerful back-end systems enabling advanced content management capabilities. Based on your project’s scope, we implement custom features such as membership management platforms, HR systems, or third-party integrations to suit your business needs. This ensures your website has all the tools needed to function smoothly and scale effectively.

Content Migration

If your contract includes the migration of additional content—such as news archives, databases, blog posts, or e-commerce products—we handle the transfer of these resources here. This step ensures that your existing content is integrated into your new website without disruptions.

Quality Assurance

Before your website is launched, our QA team thoroughly tests the website to ensure everything functions as expected. This is an important phase segment of the development process as it prepares the website for launch and sets your users up for success when the site goes live.

Launch

Once everything has passed our rigorous QA process, we will send you the link to the staging site for your own review and request your approval to go live with your website. When this approval has been received, we will coordinate a set time and date with you to push the website live. Our priority is for this transition to be seamless, while avoiding any interruption to your current business operations.

Website (WordPress) Training

Once your website is fully developed, we’ll set up a dedicated training session to put you in the driver’s seat! In this one-hour session, we’ll guide you (and any team members you’d like to include) through the WordPress backend, covering essential tasks such as updating text, changing images, and making basic content modifications. If you’d like, we can record the entire session and send you the file afterward. This recording allows you to revisit the training anytime or use it as a resource for onboarding other team members in the future.

Maintenance, Security and Support

Ongoing Maintenance

If your scope of work includes one of our website service plans, you will receive ongoing maintenance from us once your website is live. Our plans include systematic updates to WordPress core and any installed plugins keeping your site current and secure with the latest technology.

Security Monitoring & Updates

As part of our service plans, we proactively monitor and detect potential threats before they affect your site. We manage and maintain security updates and protect the site from risk vulnerabilities.

Daily Backups

To safeguard your data, our service plans include daily backups. If a security risk occurs, your website’s content and data will not be lost as these backups are securely stored on a separate server for quick restoration.
